Routine paperwork runs without babysitting; exceptions surface instead of failing quietly.
The person who scoped this is the person who built it. Same person on the handoff — that's the trade you make hiring one consultant instead of an agency.

Where things stood
Advisors generated documents by hand using templates, manually sent them through DocuSign, and then manually filed the signed copies. At scale this process consumed hours per week and introduced filing errors.

The path we chose
A firm needed to send, track, and file e-signature documents at volume — without anyone manually creating, routing, or filing them.
Build
How I built it
- Cleaned and standardized the incoming client data so documents could be populated reliably — this ended up being the bulk of the work.
- Built a custom application to populate roughly 20 different PDF types with the right data and label them accurately.
- Used the DocuSign API to place signature, name, and date fields by page coordinates, then uploaded and filed them in clearly named folders.
- Packaged the templates into envelopes and sent them to each client household, compliant with custodial requirements.

The honest part
What made it tricky
The parts that didn't go to plan — and how I worked around them.
- The original data wasn't clean — preparing it for two custodians took more than half the project.
- Some PDFs had over 200 fields, so population was straightforward but slower than expected.
After launch
What changed
- Cut document processing time dramatically and removed the manual assembly step.
- Met all custodial compliance requirements.
- Documents generated accurately straight from the original client data.
